Create A Driver

How to create a driver

  1. Log into the web-platform
  2. From the upper right corner, choose your name from the drop down
  3. Click on Setting
  4. From the left side panel, click on Account
  5. You’ll be automatically taken into the Drivers tab
  6. Click on Register New User
  7. A pop up box will appear, fill in all of the required fields
    1. ** Allow PC – Personal Conveyance, allows the driver to use the vehicle for personal use
    2. ** Allow YM – Yard Move,  allows the driver to move the vehicle around the yard or terminal
  8. Click on Save Changes
  9. Your newly created driver will be added to the driver’s list

How to edit global account settings

  1. Log into the web-platform
  2. From the upper right corner, choose your name from the drop down
  3. Click on Setting
  4. From the left side panel, click on Account
  5. Click on Global Account
  6. Edit any of the line items (not grayed out)
  7. Click Save

Home Terminals

For fleets that have multiple locations or different home terminals or time zones, create ‘Home Terminals’ and assign your drivers to the appropriate one.

To create a home terminal:

  • From the online platform, click on your name in the upper right corner and select ‘setting’ from the dropdown menu.
  • On the left hand side, select ‘Account’ and then the ‘Home Terminal’ subtab.
  • Enter in your address and press ‘save’.
  • Create a home terminal for each of your locations.


To assign a driver to a home terminal:

  • Open up the ‘Driver’ subtab and click on ‘setting’ for the driver you wish to assign.
  • Tap on the ‘Driver ELD Setting’ tab and then ‘Edit Account Setting’.
  • Edit the Home Terminal by selecting the appropriate option from the dropdown.
  • Be sure to save your changes.


100/150 Air-Mile Exemption

When creating your driver accounts, you may have noticed an option to enable ‘Exemption’ for your drivers. This should be enabled for your drivers who fall under the short-haul exemption — operating under the 100 or 150 air-mile radius. Your drivers will be able to toggle this exemption on and off, when signing in to the HOS App.

To enable the 100 or 150 air-mile radius exemption:

  • In the upper right corner, click on your name and select ‘Setting’ from the dropdown
  • On the left hand side, select ‘Account’
  • To edit your driver’s account, click on ‘Setting’
  • On the page that pops up, go to the ‘Driver ELD Setting’ page
  • Select ‘Edit Account Setting’
  • Toggle ON the ‘Allow Exemption’ item and select which exemption your driver falls under
  • Be sure to save your changes



Disable HOS Rules

Some states operate with a modified version of the Hours of Service (HOS) Rules, such as drivers are not required to take their 30-minute consecutive break. In order to disable these rules, change the settings in the online platform.

To disable certain HOS rules:

  • In the upper right corner, click on your name and select ‘Setting’ from the dropdown
  • On the left hand side, select ‘Account’
  • To edit your driver’s account, click on ‘Setting’
  • On the page that pops up, go to the ‘Driver ELD Setting’ page
  • Select ‘Edit Account Setting’
  • ‘Disable’ the rule you wish to eliminate
  • Be sure to save changes

Logging In


After logging in to the HOS App, you’ll see a prompt of items to take care of, before you start driving.

  • Select a Vehicle
  • Certify Yesterday’s Log
  • Available On-Duty Time
  • Rest Time Required

















Select Vehicle

Before you start driving, log into the app to select your vehicle

  1. From the vehicles selection page scroll down to the Select Vehicle area
  2. Under the Vehicle column, locate the vehicle you will be using.  Under Driver select Open (if you will be the co-driver, log into the app from your own device, and select Open under the Co Driver column)
  3. A pop up box will appear, asking you to confirm your vehicle selection, click Yes
  4. Back from the vehicles selection page, there will be a check mark to the left of the vehicle, and under the Driver (or Co Driver) column, it will show SELECTED
  5. Congratulations – You’ve selected your vehicle

Driver Vehicle Inspection Report

Create a Post-Trip DVIR

  1. After selecting your vehicle, click on the DVIR button
  2. After being taken into the DVIR page, click on Create New Inspection Report
  3. Complete report details
    1. Report Title (usually titled as Post-Trip DVIR)
    2. Trailer (if any),
    3. Team Driver (if any)
    4. Start Odometer
    5. End Odometer
  4. Report Defects:  Detect no Defects or Detect and list defects
    1. If there are defects, click on the add icon and check mark defects of the vehicle
  5. Input any Notes, and Submit the DVIR
  6. Sign the DVIR in the app and click Send
  7. After signing, you’ll be taken to the DVIR page.  The DVIR just created will now appear

 Create a Pre-Trip DVIR

  1. After you’re done with your shift, from the vehicle selection page click on the DVIR button
  2. From the DVIR page, choose the last post trip DVIR created under DVIR History (report title will be followed by Incomplete – No Signature)
  3. Review the DVIR
  4. If there are no defects, Click Accept.  If there are defects, click Reject
  5. Sign the DVIR within the app and click Send
  6. Pre-Trip DVIR is now completed
  7. Sign the DVIR within the app and click Send
    1. If defects where selected, once defects are repaired, mechanic/carrier manager signs DVIR, and vehicle will be available for use

Change Your Status

Make Status Changes

  1. From the vehicle selection page click on the HOS button
  2. You will be taken to the status tab, scroll down to Current Status
  3. Click on the status you’d like to change to
  4. Off Duty
    1. Personal Conveyance
  5. On Duty
    1. Yard Move
  6. Sleeper Berth
  7. You will receive a pop up asking you to confirm your status change, click Yes
  8. You will receive another pop up, the first line you will fill in your location (if not already filled in), and on the second line you will fill in any notes.  Click on Update
  9. Your new status will now be selected and highlighted
  • **If choosing Personal Conveyance as your status, first choose Off Duty as your status.  Then choose Personal Conveyance
    • If you would like to choose another status after Personal Conveyance, first choose Personal Conveyance to stop the status, then choose another status
  • **If choosing Yard Move as your status, first choose On Duty as your status.  Then choose Yard Move
    • If you would like to choose another status after Yard Move, first choose Yard Move to stop the status, then choose another status


Certify Your Logs

From the Vehicles page, tap on the HOS button.

  • Swipe right to the Logs page or tap on Logs at the top of the page.
  • Tap on the Calendar icon to open up your log for your desired date.
  • Scroll down to the bottom of the page until you reach the ‘Certification’ section.
  • In the lower right corner, tap on the ‘Click here to certify’ portion to sign your log.
  • When you are ready to certify your log for the day, tap ‘Agree’.
  • In the newest version of the App, drivers no longer need to enter their signature.


Voice Over HOS

Voice Over HOS is Voice Assistance

Drivers will manage and prevent their violations

  1. Log into the app with your user name and password
  2. From the vehicle selection/home page click on the 3 horizontal lines in the upper left hand corner
  3. Scroll to the bottom of the panel and toggle Voice Over HOS to on (when the feature is on the button will slide to the right and turn green)
  4. Go back into the vehicle selection page, and you will now see a speaker next to Status Summary.
    1. Voice Assistant will provide: a welcome message, status information, recommended changes to stay compliant, action items to take
    2. If there is a line through the speaker, that means that the speaker is off
  5. Click on HOS button
  6. The voice assistant will also guide you through the Status tab



  • Drivers can access Voice Over HOS in English and Spanish Mode
  • In order to use Voice Over HOS the device must have Google-Text-to-speech engine installed (for Android)  Go to Device Setting – Language and Input – Text to speech, and see if there is Google Text-to-speech engine listed
    • If not, please download Google Text-to-speech from the Google Play store.

Setting Up Tutorial Mode

  1. Log into HOS app
  2. Go to Settings from the Home Screen (three lines in the top left)
  3. Scroll all the way to the bottom to Tutorial Mode
  4. Enable Tutorial Mode


Once you Enable Tutorial Mode start the learning fun!

From the Home Screen, you’ll receive a Welcome Message, and you’re ready to begin learning


Follow the prompts, Tutorial Mode will take you through your day’s steps.



Going through this tutorial will teach you exactly how to keep up to date with your status, provide a status summary, and show you your time availability

Logs Tab

This tutorial will make sure you’re an expert at keeping your logs up to date, and correctly certified. Review any DVIR, as well as operation information

Logout Prompts

Logout Page

When logging out of the HOS app you will receive a logout prompt if any action items were missed.  You will be able to go into the action items to complete them before exiting out of the app

You’ll receive a logout prompt if you forget to:

  • Change your Status
  • Create your Post Trip DVIR
  • Sign and Certify your log
  • Release the Vehicle

Logout Prompt Instructions

  1. From the Settings tab, scroll down and choose Log Out
  2. A summary of your logout prompts will appear
  3. Check Switch Status to make sure you are exiting the app with the correct status
    1. If not, click on the status that you would need to log off with
    2. Confirm the status change
  4. If today’s logs haven’t been signed, click on Sign
    1. Sign directly from the certification/signature pop up
  5. If the vehicle has not been released click on the vehicle you are currently using
    1. Click RELEASE from the pop up
  6. After all action items are completed click on Logout


Automated Audit and Coaching Mode

Back Office – Admin

  1. In the web-platform, click on the Compliance Tab
  2. Then, click on the Auditing Mode sub-tab
  3. Select your date(s)
  4. Search for the driver
  5. After finding the driver’s name, click the white icon under the Coaching column
  6. A pop up will appear, this coaching message will be sent to the driver
  7. Review the driver’s coaching message, and type a message to the driver (i.e. mistakes made by driver, what the driver needs to work on)
  8. Click on Submit

HOS App – Driver

  1. Driver logs in to app
  2. Upon logging in the Coaching message will automatically appear
  3. Driver will review coaching message and will review any materials and resources as instructed by their Manager

Offline Mode

Often, drivers are in areas with low network coverage, making it difficult for their logs to remain up-to-date. FleetUp has updated Offline Mode to support drivers during these instances.

Offline mode has been modified so drivers can change their status, even in areas with poor or no reception. Offline mode turns on automatically, after 1 minute of being in a poor network area or no reception. Drivers will be prompted with a message at the bottom of their screen that Offline mode has been enabled.

Drivers can change their status to Driving, choose Off Duty from the Driving Status, etc., Please be advised, upon reaching an area with signal, your log will be reconciled with the ELD which collected all driving data. If drivers were driving during offline mode but selected their status as off duty, their log will update their driving time to match.

 Locate your On-Board Diagnostic (OBD) Port. It is generally found underneath your steering wheel. If you have difficulty locating it, use this tool for help.





Check the device for the VIN to make sure you are installing the correct device to its assigned vehicle


Vehicle’s engine must be OFF prior to installing the device.   Plug in your CABLE to the OBD port


Plug in the device to the cable



Turn on the Engine and let it run for 5 minutes

Check the device for the 3 LED lights


The GREEN light should be  blinking or solid

ORANGE (Network Connection)

The ORANGE light should be solid

If it is blinking, wait another minute until light is solid.

RED (Power)

The RED light should be blinking or solid



Recommended – Secure the device inside of the dashboard

If the device or cable unplugs, the device will not work or collect new data.

If you don’t secure the device or hide it in your dashboard, the device could become damaged or unplugged by an employee or thief.

Passenger Vehicle: Please use extension cable and zip ties to secure the device under the dashboard.

Heavy Duty Vehicle: Please make sure to turn your 9 PIN or 6 PIN cable’s head to lock the connection to the OBD port. Secure the device under the dashboard using zip ties and harness loose cables together.

Online Verification

  1. Verify the device by first logging into the FleetUp web-platform
  2. Upon logging in, you will be automatically directed to the Maps tab (default)
  3. From the left hand side panel, locate the vehicle
    • Green icon indicates the vehicle is online
    • White icon indicates the vehicle is offline
  4. Check mark the box to the left of the vehicle, the vehicle’s location will appear on the map

1. I can’t find the OBD Port!

– Contact your mechanic; they use a scanner/diagnostic tool to diagnose your vehicle and plug their tool in your OBD port.

2. The RED light doesn’t turn on!

– Check your Fuse box. If the RED light doesn’t appear, then it means there is no electric power. It is likely that the fuse is out. Replace broken fuse.

3. The ORANGE light doesn’t turn on!

– There is weak signal or no coverage in the area you are trying to install the device. Try driving around with the device plugged in for a day. It should connect to the network on its own, as you drive.

4. The GREEN light doesn’t turn on!

– Make sure you have sky access so the device can receive satellite signal. We encourage you to drive around for a day and let us know of this issue. We will monitor the device and update the firmware remotely.

Unlock the 4CJ device


  1. Wave the RFID card over the swipe card area
  2. Pull out the locking string carefully, after the beep

Lock the 4CJ device

  1. Plug in the swipe card side (left)
  2. Plug in the other side (right)

Attach the 4CJ device

  1. Attach the 4CJ Device to a metallic surface using the back-mounted magnet
  2. Lock the right side of the string around the object
  3. Be sure the RFID reader side is facing towards you, to unlock the tracker after use

  1. Plug the power cable into the 4CJ
  2. Plug the USB Cable into any USB outlet to charge the 4CJ
    • Or hard wire the power cables into the brake lights (Optional Trailer only)

Geofences are virtual perimeters

  • Create an unlimited amount of geofences
  • Receive alerts when you drivers enter and/or exit geofences
  • Receive Delivery Trip Analysis information from geofence alerts


Geofence Capabilities

Geofences is an application with many capabilities:

  •  a time card system (time-in & time-out) with alert notifications
  • notifications of speeding violations in an area
  • visit time in a Geofence
  • transit time from one Geofence to another
  • boundary alert system
  • arrival/departure notification

  1. From the left hand panel, check mark the box to the left of the the vehicle(s) you’d like to see geofence information for
  2. In the main panel, geofence information will show for the chosen vehicles
  3. Toggle between Visit, Transit, and Geofence  information
    • Visit will show you time spent in the Geofence
    • Transit will show you time spent from one Geofence to another
    • Geofence will show you exiting and entering information into the geofence
  4. Click on the report icon next to the Visit, Transit, Geofence toggle button to export the report into a CSV file.

  2. Type in the Location you’d like to create for the geofence and click Go
  3. Choose the shape of the geofence: radial or polygon

    1. From the Maps tab, on the right, you have a list view of all your vehicles and assets
    2. Click Status filter from the map
    3. From the drop down choose Online Vehicles, Offline Vehicles, and/or License Number to filter the vehicles you’d like to view

From the vehicle list on the right you can check the box of the vehicle or asset you’d like to see on the map

  • Online vehicles will be green icons
  • Offline vehicles will be white icons
  • Online assets are blue icons
  • Offline assets are red icons

If the vehicle you’ve selected is on, you will see its current location on the map, if the vehicle is off, you will see its last known location

Daily Trip Summary

Daily Trip Summary feature allows a user, to map out the routes of all trips taken in one day. Users have the option to ‘load’ a specific trip or all trips. Using this feature, a fleet manager can analyze all trips and stops made and create a more efficient delivery route to optimize their daily operations. Daily Trip Trail will also support the ‘breadcrumb’ feature. Users can select the interval for which they wish to view breadcrumbs — a breadcrumb will tell user the timestamp, location and speed along the trip.

FleetUp provides driving event data details – Speeding, Idling, and RPM  with time record and geographic location.  Driving events are very necessary to verify and analyze driver’s safety, harsh driving patterns, fuel waste, or delay on job delivery. FleetUp provides driving events for a time period on the map as ‘Geographic Driving Pattern’ that customers can view at a glance.

Enterprise mode has separate ID/PW access for children or branch accounts with ‘customizable table and report’ that a customer creates using the filter for account, items for Vehicle information and HOS violation.

Example: Customer A can create their own filter for mileage, driving hour only for 3 accounts, Customer B can create their own filter for idling, speeding for all accounts. Customer can load these filter data for time period to display on table and download as report.

UDR upgrade with idling 

The unidentified driving record will now display the idling amount that will be assigned to the driver that accepts that driving record with idling which can be used for On-Duty over 5 min.

From Online platform, the supervisor can assign UDR(s) to driver(s).

Driver‘s status automatically changes to DRV when vehicle speed is over 5 mph.

When under 5 mph, the driver is allowed to change status to On-Duty.

If the vehicle goes above 5 mph, the driver‘s status will automatically change to DRV. When the engine is off, the driver can freely change statuses.

If the driver doesn’t provide an answer for 60 sec., then driver’s status will automatically change to On-duty.




This is an inspection mode of the App. It only shows driver’s record and necessary information to get inspection.

We have increased the accuracy of state travel mileage up to 99%, and increased the report loading performance to be faster.  IFTA feature is optional, but we can turn on for past period data report.

Use FleetUp’s e-Maintenance log to keep track of your preventative maintenance tasks. With your odometer data, FleetUp will show you how many miles remain, helping you stay on schedule with your maintenance tasks.
When you perform these routine tasks, be sure to input having completed the task on our e-Maintenance chart. This will reset how many miles you have left to drive.

If the FleetUp device was removed from your vehicle, be sure to manually update your odometer data online — our device cannot log trips driven when the device was unplugged!
